How to access and ask Zap in Teams
Modified on: Mon, 4 Oct, 2021 at 2:10 PM
Once you have installed Zap in Teams, you can search for and access Zap in two ways:
From the left-hand side menu in Teams, via:
The Zap app if you have it pinned to the menu. See our article Install Zap in Teams to find out how to pin Zap to the menu.
The "Three horizontal dots: More apps added" button
The "Apps" button in the bottom left corner.
From the Teams chat, via:
The "New chat" button, by typing Zap in the recipient's bar "To:"
Once you have logged in to Zap, asking Zap is easy, just type your question in the bottom horizontal bar:
If Zap knows the answer
It will show you the similar question(s) and their answers
If you have more than one answer, click above each question or via the "+" button to see the question, the media file if any and its answer
In the question, click on "Show more" to open the training pill for more information if available
And click on "Show less" to close the more information training pill
If the first answers provided by Zap were not helpful:
Click the "Show more" button to have Zap show you more questions it knows about that area.
If Zap has no more answers available to your question, the "Show more" button will not appear.

Note: Due to Teams limitations, images larger than 1024x1024px and/or weighing more than 1MB will be displayed with a generic image by default:

If Zap doesn't know the answer
You can send the question to a Mastermind. Zap will search and find the person or people who can best help you. To do this:
Click on the "Forward question" button to send the question to a Mastermind
Select one of the categories proposed by Zap:
Before sending it, Zap will give you the possibility to improve the question if you need to. Exclusive to Zap in Teams!
Click on the "Send" button to send the initial or edited question
Click the "Cancel" button to cancel the edit and cancel the submission

Note: If you don't know what category the question belongs to, click "I don't know". Zap will send it to your organisation's administrator
If Zap doesn't find a category that fits your question, it will send it directly to your organisation's administrator:
Before sending it, Zap will give you the possibility to improve the question if you need to - exclusive to Zap in Teams!
Click on the "Send" button to send the initial or edited question
Click the "Cancel" button to cancel the edit and cancel the submission
Zap's auto-categorisation
In order to activate the predictive algorithm of the categories, that is. the auto-categorisation functionality, Zap needs to:
Have at least 101 category questions about your organisation in its knowledge
That each category has at least 20 questions, Zap will only propose the categories that meet this criterion
When these requirements are met, the database will need to be automatically updated every day, at 00:00 CET, for the changes to be applied
As you meet these criteria, Zap will suggest categories based on the keywords in your question and the related answers it knows.
Note: In Zap in Teams, it is not currently possible to manually search and select categories as in the App.
